Within 2 weeks to the event, we locked in a venue for an executive roundtable happening alongside COMPUTEX Taipei
Rafay builds infrastructure orchestration and workflow automation software that powers self-service compute consumption for Sovereign AI Clouds, Cloud Service Providers & large enterprises. In conjunction with COMPUTEX Taipei, Rafay intended to host an executive roundtable to launch its Serverless GenAI Workbench
Challenge
As the premier IT event in Taipei, COMPUTEX was held at the Nangang Exhibition Center. But seeing as Rafay was just two weeks away from the conference and without a venue booked, there was a pressing need to both find a suitable venue and invite the necessary attendees to be part of the launch.
Furthermore, virtually all venues that were in close proximity to the Nangang Exhibition Center had been fully booked, as were the schedules of many of the relevant executives.
What we did
A. Multiple soft bookings of venues and vendors
With the BSY Creative Events Platform, we immediately zeroed in on available venues and their respective pricing. We ranked these venues by proximity to COMPUTEX, cost, number of available time slots, and quality of amenities. This provided Rafay with full visibility to quickly make a decision on the venue. A professional photographer was also secured.
B. Creative agenda planning
With many of the top venues having their rooms booked for lunch and dinner events in that week, BSY instead secured morning slots for the roundtable. This allowed us to propose a suitable agenda of the Serverless GenAI Workbench launch to better match the GenAI speaking topics at COMPUTEX that afternoon. The agenda now solidified, we supported Rafay in distributing invites to their target executives.
C. Overall coordination to ensure smooth event delivery
More than 30 executives turned up for the breakfast roundtable, beating initial target numbers. The Rafay executive team presented the vision of its new technology, including the revenue potential it could bring to NCPs and GPU clouds, and this was met with enthusiastic questions and approval from the crowd.
From digital branding and social media coverage to photography, all aspects of the roundtable were taken care of by BSY, which made it easy for Rafay to focus on networking with the attendees and arrange follow-up meetings
